AI phone receptionist for the tradesWhen you're up on the ladder, someone else answers the phone
WarmCall is an AI receptionist for HVAC techs, plumbers and electricians. It answers the calls you miss, takes the address and the problem, checks your Google Calendar and books a visit. Anything it can't resolve comes back to you as a callback request.

Why calls go unanswered in the trades
Most of the day you're at a customer's place. Installing an AC unit, replacing pipes, fixing an electrical panel. Your hands are busy, and sometimes you're up a ladder or under a sink. The phone rings in your pocket.
A customer whose AC isn't cooling or who has a leak doesn't wait long. If nobody answers, they call the next company. WarmCall answers those calls while you're in the middle of a job.
What the receptionist does on a call
Answers in your business's name.
It names your business and asks who is calling.
Understands what's needed.
A repair, an installation, an inspection or an on-site estimate.
Takes the address and the problem.
It asks for the full address and a short description of the problem before it offers a time.
Checks the calendar and books the visit.
It checks availability in your connected Google Calendar, offers two times, and books the one the customer picks. At the end it reads back the time and the address, to make sure they're right.
Passes on what it doesn't know.
An estimate, billing, a technical question about a specific problem, or a request to speak with you becomes a callback request.
What goes in the calendar
The calendar event records the address and the problem in a few words, for example "12 Oak Street, Austin – AC not cooling". So you know where to drive and what to bring, without calling the customer again.
Prices and arrival times
The receptionist doesn't make up prices. If you didn't write a price list, it tells the customer the final price is set after the technician sees the job. Then it offers to book a visit or a callback from you. It names no number.
If you wrote prices in the portal, it mentions only those, exactly as you wrote them. It doesn't calculate, round or offer discounts.
It also doesn't promise an arrival time you didn't give it, and it doesn't give the customer repair instructions. Those questions come to you.
Gas smell, sparks or flooding
The receptionist recognizes a dangerous situation: a gas smell, sparks or smoke from wiring, serious flooding, or someone hurt. Then it tells the customer to leave the area and call 911.
After that it takes a callback request and marks it urgent.
It answers only from what you wrote
In the WarmCall portal you fill in your business's details:
- Address
- The services you offer
- Prices it may mention
- Payment options
- Cancellation policy
- Team
- Common questions
The receptionist answers only from this information. It doesn't guess at anything that isn't there. It offers a callback from you.

What it doesn't do
- It doesn't replace you. It answers when you can't.
- It doesn't give repair instructions over the phone.
- It doesn't commit to a price or an arrival time you didn't write.
Questions and answers
Does it sound natural?
It speaks English and Spanish, and you can hear it on a demo call to a US number before you decide.
Which calendar can I connect?
Google Calendar. It checks availability there and creates an event for each booked visit, with the address and the problem.
Can I keep my business number?
Yes. Your number doesn't change. Calls you miss are forwarded to the receptionist. We set up the forwarding together on the fit call.
Does it give estimates?
No. It mentions only prices you wrote in the portal. A request for an estimate becomes a callback request, or an on-site visit to take a look.
What happens on a call about a dangerous situation?
It tells the customer to leave the area and call 911. Then it takes an urgent callback request.
What about privacy?
The service keeps call data, including recordings and transcripts, as described in our Privacy Policy.
Rather than read about it, hear it.
Call the demo line to hear how the receptionist answers and asks questions.
This is a demonstration call. Tell it your type of business and it answers as a sample business of that type. Please don't share real personal details.
How to get started
Call the demo and hear how the receptionist answers and asks questions.
Book a short fit call. We talk about how you take jobs today.
Fill in your business details and connect Google Calendar. Then the receptionist is ready to answer.
